Recruitment Compliance Reporting

How can I monitor recruitment compliance in real time using Power BI?

For a busy recruitment business with many compliance requirements, checking records manually is cumbersome, and the analysis may already be out of date by the time it is finished. Needlestack’s Power BI compliance reports link directly to common Recruitment CRM systems and assess your data in real time, so you can maintain full control and identify exactly where compliance criteria are not being met and corrective action is needed.

The report is split into eight pages, each dealing with a different area of compliance. Throughout, a consistent colour code applies:

  • Green — the target for that measure has been met or exceeded.
  • Amber — the target has almost been met.
  • Red — the target has not been achieved and attention is required.

The eight compliance pages

  • Perm Candidates — checks how permanent candidate records are stored against measures defined to capture best practice. Each measure appears as a headline tile and in a requirement drop-down, and a graph shows compliance trends by created, modified or assessed date. Expanding a consultant reveals every applicant they are responsible for and each individual piece of missing information.
  • Temp Candidates — compliance for temporary workers tends to be far more onerous, so this page carries many more measurements. Power BI assesses every candidate who has expressed a requirement for temporary work and checks whether data exists in each required place.
  • Client Compliance — checks that business sector, client status and owning group exist on client records. Any number of additional measures can be added, and a group filter isolates an office, division or team.
  • Contact Compliance — the same approach applied to individual people and hiring managers rather than companies, checking that each contact has attributes, a primary consultant, a job title and an email address.
  • Perm Jobs — assesses ten data points on each permanent job. One of the most important is whether the client has valid terms of business: the page gives an overall score for the business and identifies which users hold jobs with clients who do not, so it can be corrected before placement fees are at risk.
  • Temp Jobs — four data points assessed on each temporary job, with the ability to expand the data and see compliance gaps clearly marked in red.
  • Perm Placements — the same checks applied to permanent placement records rather than their related jobs.
  • Temp Placements — the same again, based on temporary placement data.
Filtering and drilling into the detail

Every page can be filtered by user, group, company and date range, and the filter panel can be hidden to free up visual space. Drill-through is available from the graphs at the top of each page or from the plus icons beside each consultant, showing all the detail underlying the report according to the filters you have applied.

Turning compliance into an advantage

Compliance should not be a burden. Displayed correctly, it can significantly improve the performance of your business by identifying areas where unacceptable risk exists or where the wider operation can be improved.
